Global Orthopedic Supplier Achieves Double Sales and Maximizes Trade Show and Online Efficiencies

CIO Review

PETALUMA, CA: Using industry-specific program solutions for sales functions and AccountMate financial software as its business backbone, OPTP (Orthopedic Physical Therapy Products) has a comprehensive front-to-back office solution. “AccountMate and AMmobile helped us solve many of our sales and logistics issues. Due to the efficiency and effectiveness of the system, we have doubled sales in the past 20 years while maintaining the same number of accounting and customer service employees,” says Richard Carlson, OPTP Accounting/IT Manager.

For over 35 years, as the demand for orthopedic, physical therapy, rehabilitation and fitness solutions increased, OPTP experienced consistent growth, distributing their products directly to customers, distributors and wholesalers globally. Keeping pace with growing sales became increasingly challenging, specifically with processing online web and off-site customer orders. As a result, OPTP found the need to address several business challenges that significantly impacted their internal operations.

The first step in OPTP’s technological advancement involved enhancing web orders. Keeping pace with higher volume sales and logistics became increasingly challenging with orders obtained from the company website (www.optp.com), which comprise 25% - 30% of the corporate revenues. Previously, orders submitted online were received in the sales department via e-mail notification. All of the pertinent data needed to be re-keyed and entered into AccountMate by sales support personnel. While this internal step was seamless to customers, the process was inefficient, time consuming and prone to errors.

OPTP required an overhaul of the placement, tracking and management of web orders. By customizing their AccountMate system, OPTP could leverage their original investment with a modifiable solution that provided superior scalability for their growing business. To handle these transactions, their AccountMate Solution Provider, iSOFT, built a highly customized system within AccountMate logic to ensure that orders were submitted directly into AccountMate, bypassing the customer service department 100%. As a result, the necessary internal processing required to place, track and follow-up on web orders was automatically generated.

Customer service representatives (CSR’s) were no longer required to re-enter web orders. This change has enabled OPTP to effectively manage web orders with minimum effort and dramatically increase efficiency. “This system enhancement eliminated the need to manually enter 25% -30% of company orders,” says Carlson. “The website interacts with AccountMate almost like a CSR, entering the information directly into the Sales Order system.”

The next step in their technology update involved increasing efficiency with off-site orders. OPTP attends approximately 24 trade shows per year that last anywhere from two-to-four days in duration. OPTP required real-time information, automation and logistics at trade shows.

Without up-to-the-minute data, the outside sales team was hampered by a manual order processing system that required orders to be re-entered and payments processed “back at the office” when the trade show concluded. This process was time consuming and frequently prone to errors and payment delays when numbers or letters where transposed.

OPTP leveraged AccountMate’s program design to add on industry-specific solutions to solve their sales support and distribution challenges seamlessly. AMmobile is a mobile solution for AccountMate that allows clients to take their AccountMate system on the road via iPad. With AMmobile, OPTP authorized personnel can upload an attendee list prior to the event so contact information is already available in the system. With this mobile solution, the sales team can submit, ship and sync orders directly into AccountMate instantaneously.

This automated process allows orders to be purchased and paid for via credit card swipe in just a few seconds directly at the trade show and without having to re-key orders, enabling faster order taking and improving customer satisfaction.

“Before we used AMmobile, about 15-20 people may be lined up to purchase products at some trade shows,” states Carlson. “If the lines are too long, people may not have time to wait, and they’d leave our booth, which resulted in lost sales. The faster we can process orders, the more people we can sell to.”

In addition, OPTP and iSOFT developed a modification which allows the shipment information to be automatically sent to both the UPS and FedEx systems and then back to AccountMate. The shipping department simply scans a barcode on the invoice and all of the shipping details populate into the appropriate fields, allowing for an extremely efficient shipping process.

Another technological update involved creating custom reports to monitor company data. One such report was a customized invoice summary report by customer class which allows OPTP personnel to view sales details by customer type, such as medical doctor or physical therapist and gain valuable sales information on who is buying their products. The customized web report provides key sales data that allows OPTP personnel to “monitor web sales with a push of a button,” adds Carlson.Equipped with AccountMate and third party systems, OPTP personnel now has invaluable business tools to help ensure the continuum between planning, sales and distribution for years to come.

An SAP implementation can reach go-live on schedule and still leave the business carrying the same process friction into a newer system. That risk is greatest when years of customizations and legacy integrations have become embedded in daily work alongside manual controls and duplicate data. Executives comparing SAP implementation management providers should look beyond configuration credentials and test whether the delivery model can distinguish necessary business variation from complexity that has simply accumulated over time. Process assessment is where that distinction becomes visible. A provider should map current workflows and identify where users lose time or confidence. It should then compare those findings against standard SAP functionality and document departures before design choices harden. The aim is not blanket standardization. Certain controls or country-specific requirements may need to remain. Historical customizations deserve a different test. Buyers should examine what a provider preserves, what it simplifies, which exceptions warrant retention and how those choices are recorded before configuration begins. Weak discipline here tends to surface later as rework, heavier support demand, delayed decisions or another layer of bespoke design. Clear decision records also matter when project teams change, because undocumented exceptions can quickly become permanent assumptions. “AGP Servicios TI’s fit-to-standard approach questions inherited customization while retaining requirements tied to genuine business or regulatory needs.” Implementation governance also needs to connect technical work with business ownership throughout the program. Process owners should validate the design early enough to influence it, while testing should expose data and integration problems before cutover pressure narrows the room to respond. Training cannot be treated as a final-stage handoff. The provider’s method for preparing users and managing cutover should show whether adoption has been built into delivery, while hypercare should provide a controlled path for resolving early production issues. Executives should also ask who remains accountable when functional decisions affect integrations or when a change in one process creates consequences elsewhere. Governance becomes harder when multiple countries or business units interpret requirements differently, making clear ownership and escalation paths essential before unresolved decisions begin slowing configuration. Post-go-live support reveals whether the provider treats implementation as a project boundary or part of a longer management model. Ticket response matters, but recurring incidents and release requirements need root-cause attention, while integration issues should not be reduced to isolated fixes. A useful support model should maintain a visible backlog and establish priorities with business owners while preserving enough project context to explain why earlier decisions were made. Buyers should also verify how success will be measured after launch. Stable production is one milestone. Measures tied to manual handoffs, data quality, adoption or reporting availability show whether the implementation is actually reducing the friction that justified the program. Regular service reviews can also prevent recurring problems from disappearing into ticket volume without receiving broader process attention. AGP Servicios TI begins SAP engagements by assessing business outcomes and current processes before configuration, then carries that work through implementation, testing, cutover, hypercare and application management. Its fit-to-standard approach questions inherited customization while retaining requirements tied to genuine business or regulatory needs. AGP Servicios TI also keeps process owners involved during delivery and combines project governance with post-go-live support, including backlog review, root-cause analysis, service reviews and knowledge transfer. That continuity is especially relevant for organizations managing legacy complexity or cross-border SAP environments. Buyers that want tighter control over customization decisions and a support model that extends beyond launch have the clearest reason to evaluate AGP Servicios TI. ...Read more
ERP procurement often breaks down at the handoff between broad system coverage and the specific way a business actually runs. A platform can check expected finance and inventory boxes, yet still force costly workarounds when store processes, production flows, local compliance rules or channel requirements do not fit cleanly. Executives should examine how much of the business model is handled natively, where configuration ends and custom development begins and how many outside systems must remain in the stack. Fit matters most where the organization has process depth that generic software treats as an edge case. Retailers may need size and color handling, store inventory control, production links or merchandise planning to work inside the same environment rather than through separate tools. The closer ERP logic reflects the company’s actual transaction patterns, the less pressure falls on manual reconciliation and custom integrations. Buyers should ask vendors to map software coverage against current processes before contract signature and identify any gaps that would require parameter changes or development. That exercise also exposes whether a provider understands the business process itself or is simply matching features to a requirements sheet. Implementation quality depends heavily on sequencing. Large deployments rarely benefit from treating every function as a single conversion event. A staged plan can begin where adoption is easier, or business impact appears sooner, then expand into back-office functions based on the company’s priorities. That approach only works when implementation teams spend enough time with users who understand day-to-day exceptions. Training should also leave internal teams able to maintain the system rather than being dependent on the vendor for routine administration. Buyers should look beyond launch dates and ask how knowledge transfer is handled once implementation staff steps away. “Proscai’s system includes retail functions such as size and color management, production support, import control and the REDI merchandising module for purchasing, replenishment, allocation and markdown decisions.” Support structure can become a major cost issue after launch. ERP buyers should understand who owns implementation, customization, hosting coordination and ongoing issue resolution. Fragmented responsibility creates delays when a failure sits between vendors. A more direct model can reduce that ambiguity, but only if the provider has enough domain knowledge to distinguish a software problem from a process problem. The ability to adapt the system without destabilizing core workflows should be examined carefully, particularly when a company expects frequent changes in channels or reporting requirements. Local regulatory coverage deserves the same attention in markets where tax and accounting rules change often. ERP software that handles invoicing or statutory reporting must keep pace with those updates without forcing customers to bolt on separate accounting systems. Buyers should verify how changes are monitored and deployed and whether the vendor can explain the practical impact before a deadline becomes a disruption. Proscai places its ERP and point-of-sale functions in one retail-focused environment, alongside loyalty and omnichannel tools. It also supports implementation and customer-specific configuration. Its system includes retail functions such as size and color management, production support, import control and the REDI merchandising module for purchasing, replenishment, allocation and markdown decisions. Proscai also adapts its software to Mexican tax and accounting requirements and supports integration with external systems when customers need them. For Mexican retailers that want deep retail process coverage without stitching together multiple core systems, that combination gives Proscai a clear reason to be evaluated. ...Read more
The movement of business information across cloud platforms, internal systems, applications, and devices has made data protection a more complex operational task. Security teams must track the locations of sensitive data, monitor who has access to it, and understand how it flows through the organization. Manual checks can be challenging to maintain, especially as the volume of data increases. Some automated security controls can take care of mundane monitoring, access controls and policy enforcement, while allowing for experts to dedicate more time to investigating security incidents. Automated data security solutions are thus playing a more crucial role in effective data protection strategies, especially for businesses using sensitive data like that related to customers, finances and operations. Market Shifts in Automated Data Protection The market is progressing towards security platforms that can secure information across multiple environments and not just one repository at a time. Cloud storage, databases, applications and endpoints are frequently deployed under varying configurations, leading to the creation of varied and difficult-to-manage security controls. Automated discovery tools can search through data stores and mark and organize records based on profiles. Improved classification enables more effective controls to be implemented at higher risk locations, and less significant restrictions to be imposed on routine business information. Access control systems are also getting smarter. Static permissions can continue to be in effect when employees move to a different role or when they no longer need to access certain information. Automated systems can audit user roles and access activity, and modify permissions based on set policies. Behavioral monitoring takes it further by spotting unusual logon times or file access, which can indicate unusual activity. These controls can enable organizations to keep access at the right level without the security teams having to go through each change in permissions. Data loss prevention is increasingly linked to automated monitoring. Security systems can monitor data transfers over email, cloud storage and endpoints and compare activity to organizational policies. If a transfer is made that conveys sensitive information, it can be subject to further verification, it can limit movement, or be the subject of an alert for review. Sensitive data can also be automatically encrypted, ensuring it is protected properly at all times, in all places, and across all storage types. With distributed data, consistency can be maintained with centralized policy enforcement. Security Challenges and Practical Solutions Security alerts can cause stress for security teams, and it may be harder to identify important events when there are a lot of alerts. An automated risk scoring offers a practical answer and assesses events based on data sensitivity, access history and user behavior. Regular activities may continue following established rules, but those with higher risk levels may be subject to investigation. In cases where there is not enough context in the message or an automated response may impact legitimate business activity, human review can still be valuable. "An automated risk scoring offers a practical answer and assesses events based on data sensitivity, access history and user behavior." Secure information across hybrid environments can also provide management challenges. Cloud platforms and internal systems may have different configurations and security policies. A centralized policy management approach can give a single policy framework, and then individual controls can take into account the technical requirements of the individual environments. Gradual integration is helpful when the legacy systems are not capable of supporting modern security interfaces. Gateways and monitoring layers can be used to gain visibility without the need to replace existing applications in one fell swoop. Governance of automation needs to be done with care, as badly configured automation can lead to operational disruption. It is possible to discover surprising effects when testing security policies in controlled environments prior to deployment. Clear response thresholds can also be used to differentiate between what needs to be done automatically and what needs to be approved. Expensive decisions, such as blocking critical access to business, can still be subject to human authorization. Advancing Capabilities and Stakeholder Value Machine learning is being used to help detect patterns of behavior that may not be defined in rules to protect against security threats. Access paths that do not follow the norm, or transfers or changes in system activity, can be assessed against defined behaviors. The best use cases are those that use statistics in conjunction with traditional security measures, not exclusively relying on automated predictions. Even in the face of uncertainty, sound information and good judgment are crucial in determining the way the organization should act. Security orchestration is also helping to improve the way that various controls interact. When one system identifies a suspicious event, it can trigger a series of events across various aspects of identity management, endpoint protection and access control. A coordinated response can help minimize the time between detection and containment, as well as repetitive work by the security team. It also establishes uniformity in the response process for various types of incidents. The other functional advantage is automated compliance monitoring. Access permissions and configurations, as well as data locations, can be continually validated against internal policies or regulatory mandates by security platforms. Automated records enable compliance teams to pinpoint areas in need of attention and provide better evidence of the effectiveness of controls. Continuous monitoring can also help to minimize the need for periodic manual monitoring. ...Read more
